The Contractor Compliance & Onboarding Coordinator is a front-line, detail-oriented role within the Recruitment team. This position owns the documentation and compliance lifecycle for 1099 caregiver contractors, ensuring all onboarding records, background check requirements, licensure verifications, and program tagging are complete, accurate, and audit-ready.
KEY RESPONSIBILITIES
Document & Records Verification
- Collect, review, and verify all required onboarding documentation for incoming 1099 caregiver contractors prior to activation.
- Ensure completeness and accuracy of I-9 equivalents, tax forms (W-9), and any program-required agreements or attestations.
- Flag and resolve missing or expired documentation in a timely manner, escalating to the Sr. Manager as needed.
Licensure Verification
- Confirm and document active licensure status for caregivers where applicable (CNA, HHA, or state-specific certifications).
- Track licensure expiration dates and initiate renewal outreach to caregivers in advance of lapses.
- Maintain accurate licensure records within the applicant tracking system (ATS) and associated compliance tools.
Background Check Requirements & Maintenance
- Manage background check documentation for all 1099 contractors across applicable programs, ensuring adherence to state and program-specific requirements.
- Maintain organized records of background check statuses, results, and adjudication decisions in HireRight and internal systems.
- Monitor the expired background check dashboard daily and coordinate re-screening outreach with caregivers and the compliance team.
- Support the internal adjudication committee by preparing documentation packages for review cases.
Program Training & System Tagging
- Ensure each caregiver contractor is correctly tagged in the system by program, geography, and compliance tier upon onboarding completion.
- Track training completion requirements (e.g., orientation modules, compliance trainings) and follow up with caregivers on outstanding items.
- Maintain accurate program enrollment records and flag discrepancies for correction.
General Compliance Support
- Perform regular audits of contractor records to ensure ongoing compliance with CareLinx policies and applicable regulations.
- Assist in preparing documentation for internal and external compliance audits upon request.
- Maintain organized, up-to-date digital files for all contractors in accordance with document retention policies.
QUALIFICATIONS
Required
- 1+ years of experience in HR, recruitment coordination, compliance, or a related administrative role.
- Demonstrated ability to manage high-volume documentation with strong attention to detail and accuracy.
- Proficiency with ATS platforms, HRIS tools, or similar systems (e.g., Bullhorn, Workday, HireRight, or equivalent).
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Professional English proficiency (written and verbal) for collaboration with U.S.-based teams and stakeholders.
- Comfortable working independently in a remote, nearshore environment with minimal supervision.
Preferred
- Familiarity with U.S. background check processes and compliance requirements (e.g., FCRA, EEOC adjudication standards).
- Experience in healthcare, home care, or a regulated industry with licensure tracking requirements.
- Exposure to 1099 contractor or gig workforce onboarding processes.
- Experience with reporting and dashboard monitoring for compliance or operational metrics.
