Duties
- Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements with precision and proactive communication.
- Handle incoming calls using multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills.
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace tools.
- Maintain organized filing systems—both physical and digital—ensuring quick retrieval of information and data entry accuracy.
- Assist with office management tasks such as supply inventory, equipment maintenance, and front desk responsibilities including greeting visitors.
- Support bookkeeping activities using QuickBooks or similar accounting software for invoicing, expense tracking, and basic financial record keeping.
- Provide personal assistant support to executives by managing confidential information, coordinating calendar management, and supporting special projects as needed.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
- Demonstrated clerical experience with attention to detail in proofreading and document formatting.
- Exceptional customer service abilities combined with professional phone etiquette for handling inquiries via multi-line phone systems.
- Bilingual capabilities are highly desirable to effectively communicate with diverse clients and team members.
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment.
- Experience with office equipment such as fax machines, printers, scanners, and familiarity with front desk operations including multi-line phones and visitor management systems.
