About the Role
We're seeking a highly organized, proactive Executive Assistant (EA) to support a successful prosthodontist and entrepreneur overseeing a growing dental practice and short-term rental portfolio in Austin. This is a high-trust, high-impact role requiring exceptional judgment, ownership, and attention to detail. You'll work directly with the owner to streamline operations, drive projects forward, and ensure priorities are executed efficiently.
This role is fully remote yet must be available to answer/return calls and email during normal business hours. While the role primarily operates during standard business hours, occasional urgent matters may require timely attention outside normal working hours.
What You'll Do
- Manage day-to-day calendar, scheduling, and communications on behalf of the owner.
- Coordinate day-to-day STR (short-term rental) operations, including communication with guests, cleaners, maintenance providers, and other vendors.
- Track and manage renovation, construction, and improvement projects across properties.
- Organize and follow up on vendor relationships, contractor bids, and timelines.
- Research, manage, and execute special projects across both the dental practice and real estate portfolio.
- Anticipate needs, flag issues early, and take ownership of tasks through completion.
- Maintain strict confidentiality when handling business, financial, personnel, and patient-related information.

- The owner's time, focus, and energy are protected and maximized.
- Rentals and office environments run smoothly with minimal input required.
- Travel, calendars, inboxes, and operations remain proactive - not reactive.
- Details are handled flawlessly; communication is clean, calm, and consistent.
- The EA (Executive Assistant) operates as a trusted strategic partner, exercising sound judgment and ownership in managing priorities.
- Calendars, travel arrangements, and priorities are proactively managed with minimal scheduling conflicts.
- Property and office issues are identified and resolved before escalating to the owner.
- Projects consistently move forward on schedule and within established timelines.
What We're Looking For
- 3+ years of executive assistant or operations experience.
- Exceptional critical thinking, judgment, emotional intelligence, and interpersonal skills.
- Exceptional attention to detail and commitment to accuracy.

- Strong communicator, both written and verbal.

- Demonstrated ability to solve problems independently while building strong working relationships.
- Proficiency with Google Workspace, Microsoft Office, and virtual communication tools.
Nice-to-Have Experience
- Experience in property management, construction coordination, interior design, and/or real estate is a strong plus.

Job Types: Full-time, Part-time
Pay: $7,390.48 - $14,780.95 per month
