Executive Administrative & Operations Coordinator (Bilingual)

We are seeking a highly organized, proactive, and technology-driven Executive Administrative & Operations Coordinator to support the daily operations of a growing U.S.-Mexico professional services organization.
This position supports multiple business units operating under TCA Law Group, including:
- Remote Online Notarization (Texas)
- Legal and Professional Services
- Business Development & Corporate Operations
- Digital Marketing & Social Media
This is not a traditional administrative assistant position. We are looking for someone who enjoys solving problems, communicating professionally with clients, embracing technology, and helping build efficient systems.
This is a full-time remote position for candidates currently residing in Mexico.
Responsibilities
Executive & Administrative Support
- Manage executive calendars, meetings, and appointments.
- Coordinate daily priorities and deadlines.
- Organize digital files and documentation.
- Prepare reports, presentations, and business correspondence.
- Assist with legal and administrative documentation.
Client Relations
- Professionally communicate with clients in both English and Spanish.
- Follow up with prospective and existing clients.
- Coordinate appointments and scheduling.
- Maintain accurate client records.
- Provide exceptional customer service through phone, email, and messaging platforms.
Social Media & Marketing Support
- Assist in creating and scheduling content for multiple social media platforms.
- Coordinate social media calendars.
- Work with AI tools to draft posts, articles, marketing campaigns, and promotional materials.
- Monitor engagement and assist with online presence.
- Support branding initiatives across multiple business units.
Technology & AI
The successful candidate should be comfortable learning and utilizing modern productivity tools, including:
- ChatGPT
- Google Workspace
- Microsoft Office
- Canva
- Social media management platforms
- CRM and scheduling software
- AI-powered productivity tools

Qualifications
Required
- Must reside in Mexico.
- Fully bilingual (English and Spanish).
- Bicultural, with an understanding of both Mexican and U.S. business environments.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Professional appearance and communication.
- Ability to work independently while managing multiple projects.
- Reliable internet connection and home office setup.
- Comfortable using technology and learning new software quickly.
Preferred
- Experience supporting executives or business owners.
- Experience with legal, professional services, real estate, or notary offices.
- Experience with social media management and digital marketing.
- Experience using AI tools such as ChatGPT.
- Knowledge of project management platforms is a plus.
