We are currently seeking a Data Entry & Order Processing Specialist to support administrative and operational activities from our office in Guadalajara, Mexico, while collaborating closely with our Finance and Operations team in Tamarac, Florida, USA.
Position Summary
The Data Entry & Order Processing Specialist is responsible for maintaining accurate records, processing purchase orders, supporting administrative operations, and ensuring the integrity of company data. This position requires strong attention to detail, excellent organizational skills, and the ability to work effectively with cross-functional and international teams.
Key Responsibilities
- Enter and process purchase orders accurately within internal systems.
- Perform high-volume data entry related to orders, invoices, payments, and customer records.
- Review, verify, and update information to ensure data accuracy and completeness.
- Organize and maintain electronic and physical documentation.
- Generate reports and summaries as required by management.
- Assist with tracking orders, payments, and operational records.
- Communicate with vendors and clients regarding orders and account information.
- Support account reconciliation activities and record verification.
- Identify and correct data discrepancies in company databases.
- Perform quality control checks to maintain data integrity.
- Assist with process improvement initiatives to enhance operational efficiency.
- Collaborate with Finance and Operations teams in Mexico and the United States.
QualificationsEducation
- Some university or college coursework completed preferred.
- Associate's Degree in Business Administration or a related field is a plus.
Experience
- Minimum of 3 years of experience in Data Entry, Order Processing, Administrative Support, or similar roles.
- Experience working with large volumes of data and transactional records.
Technical Skills
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
- Experience using ERP, accounting, or business management systems (QuickBooks, SAP, NetSuite, or similar) preferred.
- Strong data entry and data validation skills.
- Ability to generate reports and maintain organized records.
Language Requirements
- Advanced English (C1 level or higher) required.
- Ability to communicate professionally with U.S.-based teams, vendors, and customers.

Compensation & Benefits
- Monthly salary starting at MXN $20,000 gross, based on experience and qualifications.

Work Schedule
- 100% On-Site Position
- Location: Guadalajara, Jalisco
- Monday through Friday
- 7:30 AM to 4:30 PM
- Schedule aligned with U.S. operations.
