We are looking for a dedicated and experienced HOA Portfolio Manager - Community Association Manager. This role involves overseeing a portfolio of homeowner associations (HOAs), ensuring exceptional management and service delivery. The successful candidate will be responsible for managing daily operations, financial activities, and communications of various associations within the portfolio.
Job Responsibilities:
- Manage and oversee the day-to-day operations of multiple homeowner associations,
- ensuring compliance with all association governing documents and state laws.
- Develop and maintain positive relationships with Board members, residents, and vendors.
- Coordinate and attend Board meetings (in the evening), including preparation of meeting agendas, packets, and minutes.
- Implement Board decisions and follow up on action items.
- Conduct regular site inspections to ensure property maintenance standards are met.
- Manage and approve vendor contracts, supervise maintenance and repair activities, and ensure quality workmanship and completion on schedule.
- Prepare and manage annual budgets for each association, monitor financial performance, and provide financial reports to the Board.
- Address homeowner inquiries and concerns promptly, providing exceptional customer service.
- Facilitate communication between homeowners, board members, and relevant parties through newsletters, community updates, and other communication tools.
- Advise and assist Board members on the enforcement of community rules and regulations.
- Coordinate with legal counsel on issues involving association matters as needed
Qualifications:
- Minimum of 1 year of experience as a Community Association Manager (CAM) or Portfolio Manager, or at least 3 years of experience as an Assistant Community Manager with U.S.-based HOA management companies.
- Property Management experience may also be considered, provided there is demonstrated experience managing a large portfolio of properties and solid knowledge of HOA operations and regulations.
- Exceptional written and verbal communication skills in English, with native-level proficiency.
- Proficiency in computer skills, including Microsoft Office and Google Suite.
- Strong organizational abilities, capable of multitasking and prioritizing effectively.
- Detail-oriented mindset with a focus on maintaining a high level of accuracy.
- Proactive problem-solving skills and the ability to handle challenging situations calmly and professionally.
- Ability to work full time 40 hours a week following US Eastern timezone.
