We focus on skills, potential, and the ability to grow. We are looking for a Coordinator – Recruitment Administration (Hiring Assistant) who brings strong capability in stakeholder communication and recruitment administration, and is motivated to contribute to real, measurable results.
You’ll support the hiring process in a fast-paced environment, work closely with recruiters and stakeholders, and help deliver a positive candidate experience through timely, accurate, and professional coordination.
What you’ll do:
- Support offer extension, video interviewing, help desk support, applicant tracking system updates, and pre-employment screening to keep the recruitment process running smoothly.
- Manage ad-hoc administrative activities to support the effective day-to-day delivery of hiring activity.
- Collaborate on daily, weekly, monthly, and quarterly reporting, ensuring tasks are completed accurately and within agreed deadlines.
- Build and maintain strong working relationships with recruiters, client partners, interviewers, and other stakeholders to support an efficient and well-connected hiring process.
- Provide timely updates to stakeholders so they remain informed on relevant processes, progress, and next steps.
- Manage day-to-day queries related to your area of responsibility, resolving issues effectively and escalating when appropriate.
- Contribute to continuous improvement initiatives within the immediate team to enhance service delivery and operational efficiency.
- Use technology and new process rollouts effectively to support consistency, compliance, and team performance.
- Apply strong attention to detail to maintain data accuracy, process integrity, and compliance with client and AMS standards.
- Support a positive candidate experience by providing professional, timely, and accurate communication across the hiring journey.
- Demonstrated ability in recruitment administration, coordinator support, or other process-driven administrative work.
- Strong communication skills, including strong English communication both written and verbal.
- Ability to work effectively in a high-volume, fast-paced environment while managing multiple priorities and deadlines.
- Ability to follow processes and guidelines consistently while maintaining service quality and compliance.
- Confidence using MS Office and technology to support daily work, alongside a service-focused and responsive approach.
- Familiarity with applicant tracking systems or other recruitment process technology.
- Exposure to offer management, interview coordination, pre-employment screening, or help desk support.
- Strength in reporting and handling recurring operational data accurately.
- A proactive, growth-oriented approach to continuous improvement, learning, and stakeholder collaboration.
