Job Summary
Our client is looking for a highly skilled and experienced Administrative Assistant to support the owner, Lynn, and the youth director, Dana. The ideal candidate will act as a critical organizational filter, managing the heavy volume of customer communication and building efficient, structured processes to help transition the boarding business into a membership model. This remote position requires a proactive professional who can streamline digital operations, organize travel logistics, and free up leadership to focus on core educational curriculum and business growth.
Responsibilities
- Inbox & Communication Management: Monitor the company inbox 24/7 to manage and answer the high volume of daily email inquiries from students, parents, and boarders.
- Process Standardization: Organize and migrate the company's disorganized Google Drive system into a structured project management tool (e.g., ClickUp, Monday.com, or Slack).
- Customer Workflow Management: Build linear workflows to seamlessly guide customers through onboarding, camp registration, payment portals, and newsletter subscriptions.
- System Troubleshooting: Manage and resolve glitches between the student booking platform (iClass Pro) and the CRM platform (Keap) to ensure customer data and newsletters sync properly.
- Travel Coordination: Handle all contracts, deposits, logistical details, and client communication for the farm's annual five-star ranch trip to Colorado.
- Reporting Assistance: Help gather and organize expense and income data to facilitate clear financial reporting for business planning.
Requirements
- Experience: 5+ years of related experience as an assistant.
- Language Skills: Excellent, articulate English language skills with minimal to no accent to facilitate seamless daily communication.
- Software Proficiency: Previous experience navigating CRM platforms like Keap and student/membership scheduling portals like iClass Pro is highly preferred.
- Operational Strengths: Proven experience implementing project management tools and standard operating procedures from the ground up.
- Working Style: Comfortable working remotely and collaborating extensively via video calls (Zoom).
Job Type: Part-time
Pay: $9,697.02 - $17,500.00 per month
