Job Summary
We are seeking a compassionate, organized, and customer-focused Bilingual Intake Specialist to join our growing personal injury team. This role serves as the first point of contact for prospective clients, providing exceptional service while guiding individuals through the initial intake process. The ideal candidate is fluent in Spanish and English, has prior reception and client intake experience, and is comfortable working in a fast-paced office environment.
Responsibilities
- Serve as the first point of contact for prospective clients by answering phone calls, emails, and online inquiries professionally and courteously.
- Conduct detailed client intake interviews by gathering information about accidents, injuries, medical treatment, and other relevant case details.
- Accurately enter and maintain client information in the firm's case management system.
- Pre-screen potential cases using established firm guidelines to determine eligibility for attorney review.
- Explain the intake process and assist clients with completing intake forms, authorizations, and retainer agreements.
- Provide empathetic, responsive customer service while helping clients navigate the beginning of their legal matter.
- Schedule consultations and coordinate communication between prospective clients and the legal team.
- Maintain confidentiality of all client information and ensure accurate documentation.
- Perform general reception duties, including greeting visitors, answering multi-line phones, and directing inquiries to the appropriate team members.
Qualifications
- Fluent in Spanish and English (spoken and written).
- Previous experience in a reception, front desk, customer service, or client intake role.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to communicate with empathy and professionalism.
- Exceptional organizational skills and attention to detail.
- Comfortable using computers and learning case management software.
- Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced environment.

Pay: $512,085.28 - $548,492.40 per year
