Position Description
We are looking for a highly organized, proactive Administrative coordinator with excellent follow-up skills to coordinate the administrative operations of our corporate offices.
The selected candidate will be responsible for the comprehensive administration of company facilities, vendor coordination, expense control, purchasing, contracts, general services, travel expenses, corporate documentation, and support for different areas of the organization. In addition, the candidate must maintain constant communication in English and Spanish with vendors, employees, and management.
Requirements
- Bachelor's degree in Administration, Business, International Relations, or a related field.
- 3 to 5 years of verifiable experience in similar positions.
- English proficiency at B2 or C1 level is required.
- Business conversational English.
- Experience in corporate office and facility administration.
- Experience managing vendors and general services.
- Experience in purchasing, invoicing, expense control, and administrative processes.
- Experience coordinating cleaning and security personnel.
- Experience managing contracts, documentation, and corporate records.
- Experience coordinating travel arrangements and logistics.
- Verifiable employment references.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities simultaneously.
Main Responsibilities
- Comprehensive administration of corporate offices.
- Coordination of vendors and general services.
- Management of purchasing, payments, and invoicing.
- Expense control and reconciliation.
- Supervision of maintenance, cleaning, and security services.
- Administration of contracts and corporate documentation.
- Management of keys and access control.
- Coordination of travel expenses and logistics for executives and the legal department.
- Follow-up with telecommunications and corporate service providers.
- Coordination of vendor homologation and regularization processes.
- Administrative support for Management, Human Resources, Legal, and Accounting.
- Preparation of reports and follow-up on administrative projects.
