We are seeking a highly capable Technical Operations & Automation Manager to help architect, stabilize, and optimize the operational systems behind a fast-growing coaching and consulting business.
This role is ideal for someone who combines strong technical capability with operational common sense. The primary responsibility is owning and improving the company’s CRM, automation infrastructure, integrations, and AI-assisted workflows. However, the ideal candidate is also comfortable supporting broader operational execution as systems mature.
This is not a narrow “GoHighLevel technician” role.
We are looking for someone who can think critically, solve problems independently, communicate clearly, and operate as a trusted systems partner inside a founder-led organization.
The ideal person is highly resourceful, adaptable, and capable of figuring things out without requiring constant oversight.
Primary ResponsibilitiesTechnical Operations & CRM Management
- Own and optimize the GoHighLevel environment
- Build and maintain automations across the client lifecycle
- Configure and improve:
- pipelines
- workflows
- lead nurturing
- onboarding systems
- follow-up sequences
- scheduling automations
- email workflows
- Troubleshoot and resolve workflow failures and integration issues
- Maintain CRM organization, cleanliness, and reporting visibility
- Improve operational efficiency through automation and process refinement
Systems Integration & Workflow Architecture
- Manage integrations between:
- GoHighLevel
- Zoom
- Calendly
- Mailchimp
- Fireflies
- Google Workspace
- AI platforms including Claude and ChatGPT
- Evaluate current tools and recommend improvements when appropriate
- Balance operational efficiency with simplicity and user experience
- Prevent unnecessary complexity or disruptive system migrations
- Create scalable, maintainable operational systems
AI & Automation Development
- Develop AI-assisted workflows to reduce founder workload
- Build systems for:
- automated meeting summaries
- AI-generated follow-up emails
- transcript management
- content repurposing
- workflow automation
- Monitor automation quality and refine outputs over time
- Assist in developing operational AI systems and internal knowledge workflows
Operational Support & Execution
While this is primarily a technical operations role, the ideal candidate is also willing to support operational execution where needed.
Examples may include:
- workflow monitoring
- QA review of automations
- content publishing coordination
- email campaign support
- process documentation
- administrative follow-through
- helping manage operational tasks once systems are stabilized
This role is best suited for someone who enjoys building systems but is also comfortable helping the business execute day-to-day operations.

Required Qualifications
- Strong hands-on GoHighLevel experience
- Experience building automations and CRM workflows
- Familiarity with integrations and workflow tools
- Experience with AI tools such as Claude and ChatGPT
- Strong troubleshooting and critical thinking skills
- Excellent communication and organizational ability
- Ability to independently manage projects and priorities
Preferred Qualifications
- Experience in:
- coaching
- consulting
- education
- service-based businesses
- Familiarity with:

- Make.com
- Meta Ads integrations
- YouTube workflows
- email marketing systems
- content operations
- Previous experience supporting founders or executives directly
- Operational or administrative experience in addition to technical skills
