Job Summary
Los Angeles Bone and Joint Institute (LABJI) is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide administrative support to physicians and executive leadership. The ideal candidate will have healthcare industry experience and possess strong technical and organizational skills, including proficiency in eClinicalWorks (eCW), Microsoft Excel, Google Workspace, RingCentral, report generation, and project coordination.
This role is responsible for managing schedules, preparing reports, coordinating projects, assisting with human resources functions, and maintaining various healthcare and administrative portals. The successful candidate will be a self-starter who can manage multiple priorities, maintain confidentiality, and support a fast-paced orthopedic practice.
Key Responsibilities Executive & Administrative Support
- Provide direct administrative support to physicians and executive leadership.
- Manage calendars, schedule meetings, and coordinate appointments and travel arrangements.
- Prepare, edit, and distribute correspondence, reports, presentations, and meeting materials.
- Serve as a liaison between leadership, staff, vendors, and external stakeholders.
- Maintain confidential information and sensitive documentation with discretion.
Reporting & Data Management
- Generate and maintain operational, financial, and performance reports using Microsoft Excel and Google Sheets.
- Compile data and prepare executive summaries and dashboards as requested.
- Assist leadership with data tracking, analysis, and reporting initiatives.
- Ensure accuracy and integrity of reports and organizational data.
Portal & System Management
- Manage and maintain payer, credentialing, vendor, and healthcare-related portals.
- Support day-to-day utilization of eClinicalWorks (eCW) and other administrative platforms.
Human Resources Support
- Assist with employee onboarding and new hire paperwork.
- Maintain personnel files and compliance documentation.
- Support training coordination, employee communications, and HR-related administrative tasks.
- Assist with tracking licenses, certifications, and other required employee documentation.
Project Coordination
- Assist with special projects and organizational initiatives.
- Track project timelines, deliverables, and follow-up tasks.
- Coordinate meetings, agendas, and project-related communications.
- Support process improvement initiatives and workflow organization.
Office Operations
- Coordinate vendor relationships, purchasing activities, and office administrative functions.
- Provide general administrative support to multiple departments as needed.
- Assist with maintaining organized digital filing systems and company records.
Qualifications Required
- Minimum of 2 years of experience in a healthcare or medical office environment required.
- Proficiency in eClinicalWorks (eCW).
- Advanced skills in Microsoft Excel and Google Workspace (Docs, Sheets, Slides, Drive).
- Strong organizational and time management skills.
- Experience preparing reports and managing data.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Self-motivated with excellent problem-solving abilities.
- Experience supporting physicians or executive leadership in a medical practice.
- Knowledge of healthcare administrative processes.
- Experience managing payer portals.
- Familiarity with healthcare compliance and regulatory requirements.
