Position Summary
We are looking for an HR & Recruiting Administrator to support the People Team with HR and recruiting operations. This role will provide administrative, coordination, and process support across recruiting, onboarding, employee records, reporting, and internal documentation.
The HR & Recruiting Administrator will work closely with the Director of Talent Success and the Recruiting Manager, supporting daily recruiting workflows, HR systems, candidate coordination, reporting, and process improvement. This position is ideal for someone with HR or recruiting coordination experience, strong English communication skills, and the ability to work autonomously in a remote, fast paced environment.
Responsibilities:
- Create requisitions and job postings through the ATS.
- Screen candidate applications to evaluate qualifications and alignment with role requirements.
- Coordinate interview scheduling and communication between candidates, recruiters, and hiring managers.
- Process new hires in the ATS, update tracking sheets, initiate background and reference checks, and maintain data accuracy.
- Maintain and update employee records in UKG and support HRIS data integrity and compliance.
- Generate reports, including new hire reports, recruiting dashboards, and trackers.
- Assist with data audits and updates.
- Manage and respond to HR and recruiting tickets in Fresh, supporting follow up and resolution.
- Support onboarding and offboarding procedures.
- Participate in People Team meetings and contribute to team discussions.
- Create and update departmental playbooks, documentation, and process guides.
- Provide proactive suggestions for process improvements and workflow updates.
- Use AI powered tools to streamline workflows, optimize processes, improve communication, support productivity, and assist with daily tasks.
- Support special projects assigned by the HR Director or Recruiting Manager.
Requirements:
- 2+ years of administrative or coordination experience in HR or recruiting.
- Experience with HR systems such as UKG and applicant tracking systems.
- Familiarity with HR and recruiting workflows, documentation, reporting, and employee records.
- Strong English communication skills, both written and verbal.
- Experience working remotely and collaborating with cross functional teams.
- Strong computer skills, including Microsoft Outlook, Microsoft Teams, Microsoft Office, Windows, and internet research.
- Ability to learn new systems and adapt to changing environments.
- Ability to multitask, organize, prioritize, and manage responsibilities independently.
- Strong written and verbal communication skills, including the ability to present updates to leadership.
- Analytical thinking and independent problem solving skills.
- Ability to work autonomously and collaborate with internal teams.
- Comfortable managing administrative workflows, documentation, reports, and internal support requests.
- Ability to use basic math skills for reports, tracking, and data related tasks.
Nice to Have:
- Experience using UKG.
- Experience using Fresh or another ticketing system.
- Experience supporting onboarding, offboarding, background checks, and reference checks.
- Experience creating or updating process documentation, playbooks, and internal guides.
- Experience using AI powered tools to improve workflows, communication, or productivity.
- Experience working with remote teams in a fast paced environment.
- Valid visa or ability to travel to the United States if needed.
