Bilingual Administrative Assistant | Reception & Document Processing
Location: Guadalajara, Jalisco, Mexico (100% On-Site)
Schedule: Full-time | Monday to Friday | 10:00 AM to 6:00 PM EST (Tentative)
Monthly Salary: $18,000 MXN
English Level Required: Advanced to Fluent
Position Overview
We are currently hiring a Electronic Document Processing Specialist for our Guadalajara office. This position is ideal for professionals who enjoy organized administrative work, document management, and providing excellent customer service.
In this role, you will be responsible for processing electronic records, organizing case documentation, and serving as a backup receptionist by answering and directing incoming calls. You'll work closely with internal teams to ensure documents are processed accurately while maintaining the highest level of confidentiality.
This position is perfect for someone who is detail-oriented, comfortable using technology, and enjoys working in a structured, professional environment.
Important: This is a full-time, on-site position in Guadalajara. Remote or hybrid work is not available.
Key Responsibilities
Electronic Document Processing
- Review incoming emails and electronic records with accuracy and efficiency
- Upload, organize, and categorize documents within the case management system
- Verify information for completeness, accuracy, and consistency
- Maintain organized digital files for easy retrieval
- Ensure documents are processed according to established procedures
Reception & Phone Support
- Serve as a backup receptionist by answering and directing incoming phone calls professionally
- Transfer calls to the appropriate team members
- Provide a friendly and professional first impression to callers
- Take and relay accurate messages when necessary
Administrative Support
- Assist with general administrative tasks to support daily operations
- Collaborate with team members to ensure efficient workflows
- Help maintain accurate records and documentation
Confidentiality & Compliance
- Handle sensitive client and company information with discretion
- Follow company policies regarding records management and data protection
- Maintain professionalism and confidentiality in all assigned responsibilities
Requirements
- Advanced to fluent English (spoken and written)
- Excellent organizational skills and strong attention to detail
- Professional communication and phone etiquette
- Proficiency with Microsoft Office and the ability to quickly learn new software
- Strong multitasking and time management skills
- Ability to work independently while maintaining accuracy
- High level of professionalism and confidentiality
- Availability to work full-time on-site in Guadalajara
Preferred Experience
Experience in one or more of the following is a plus:
- Administrative support
- Reception or front desk positions
- Document processing or records management
- Customer service
- CRM or case management systems
- Microsoft Office Suite
Training will be provided on all internal systems and software.
