About the Role
Grand Haven Realty is seeking a highly organized Executive Operations Coordinator to support real estate operations, executive follow-up, CRM organization, lead tracking, scheduling, documentation, and business development support.
This role will support leadership with daily priorities, calendar coordination, task tracking, communication follow-up, real estate pipeline organization, recruiting support, marketing coordination, and administrative systems. The right person must be organized, proactive, detail-oriented, professional, and comfortable helping bring structure to a growing real estate business.
This is a strong opportunity for someone who has supported a real estate broker, real estate investor, property manager, business owner, executive, or growing service-based company.
What You Will Do
- Support executive scheduling, calendar coordination, reminders, and follow-up.
- Help organize daily priorities, open tasks, deadlines, and pending items.
- Maintain CRM, lead lists, contact records, and follow-up trackers.
- Help organize buyer, seller, investor, owner, and property management leads.
- Assist with real estate pipeline tracking and deal follow-up.
- Support agent recruiting, onboarding checklists, and internal coordination.
- Help organize documents, notes, meeting follow-ups, and action items.
- Assist with property research, market research, ownership research, and basic data entry.
- Support marketing and business development follow-up across email, phone, social media, and CRM.
- Help track tasks in Monday.com or similar project/task management systems.
- Prepare daily or weekly updates for leadership.
- Support communication across email, Slack, WhatsApp, CRM, and project management tools.
- Assist with special projects connected to real estate operations, property management, acquisitions, business development, and company growth.

Required Qualifications
- Prior experience as an executive assistant, operations assistant, administrative coordinator, real estate assistant, transaction coordinator, CRM assistant, or business support assistant.
- Strong English communication skills, written and verbal.
- Experience with email, calendars, spreadsheets, and online work tools.
- Strong attention to detail and ability to follow instructions.
- Reliable internet, computer, and professional remote work setup.
- Ability to maintain confidentiality and handle business information professionally.
- Availability during U.S. Central Time business hours.
Preferred Qualifications
- Experience supporting a real estate broker, investor, property manager, or real estate business owner.
- Experience with CRM tools, lead tracking, transaction coordination, or real estate pipeline management.
- Experience using Monday.com, Slack, Google Workspace, Microsoft Office, Canva, CRM systems, or similar tools.
- Experience coordinating appointments, documents, follow-ups, marketing tasks, or client communication.
- Startup, small business, or fast-growing company experience.
Schedule
Monday–Friday during U.S. Central Time business hours.
Some flexibility may be available, but the role requires reliable availability for communication, task updates, scheduling, meetings, and follow-up during the workday.
Trial Period
This role will begin with a 30-day paid trial period. Continued work, schedule, hours, and long-term opportunity will be based on performance, reliability, communication, workload, company needs, and mutual fit.
