Job Purpose & Position Overview
Plays a key role in supporting the end-to-end workflow of the Benefits Advisory team – from pre-sale activities that help secure new groups through onboarding, renewals, and ongoing client service. This position requires a solid foundation understanding of benefits operations, strong organizational skills, and the ability to manage multiple tasks simultaneously. The Associate ensures accurate processing of enrollments and terminations, timely resolution of billing and claims issues, and consistent coordination across carriers, vendors, and internal teams.
Responsibilities
New Business & Renewal Support
- Provide new business support at the direction of the Account Manager/Executive and Producers.
- Manage marketing timelines and ensure all deadlines are met.
- Review RFPs, identify and obtain missing information, and submit complete packages to the designated marketplace, Archon, and Perfect Quote systems.
- Track carrier receipt of RFPs and ensure all proposal deadlines are met by carriers and service vendors.
- Manage proposal generation and consolidation using Perfect Quote, Archon, and internal templates.
- Coordinate with Advisory team to review proposals and address necessary updates or corrections.
Administrative & Compliance Support
- Follow all agency policies and procedures, including plan entry into the agency management system, HIPAA compliance, and accurate file maintenance.
- Create sold-plan documents and upload them into the management system for client records.
Client Service & Plan Management
- Manage new business implementation, renewals, and ongoing issues related to enrollment, billing, and claims.
- Coordinate with carriers and benefits-administration vendors to ensure proper implementation of new and renewal plans.
- Actively monitor client eligibility throughout the plan year.
Team Support & Special Projects
- Participate in special projects and cross-functional initiatives as assigned.
- Proactively identify opportunities to assist team members and improve workflow efficiency.
- Support ongoing process improvement and contribute to operational excellence across the department.
Qualifications
- 1-2 years of experience in customer service, human resources, or general office administration.
- 1-2 years of prior employee benefits insurance experience is preferred.
- Ability to manage multiple tasks and priorities in support of team and client needs.
- Proficiency in Microsoft Office
- Strong communication skills and ability to collaborate effectively within a team environment
- Ability to learn and apply knowledge of proprietary software platforms
