Executive Assistant to the CEOAbout the Role
We are looking for a highly organized, proactive, and tech-savvy Executive Assistant to work directly alongside our CEO. This is much more than a traditional administrative role—you will be a trusted business partner, helping manage daily operations, support sales initiatives, improve processes through AI and automation, and ensure nothing falls through the cracks.
The ideal candidate is detail-oriented, resourceful, enjoys solving problems, and thrives in a fast-paced environment.
Key Responsibilities
- Manage the CEO's calendar, meetings, appointments, and priorities.
- Organize and prioritize emails, respond when appropriate, and ensure important communications are addressed promptly.
- Prepare meeting agendas, take notes, and track follow-up action items.
- Coordinate communication between departments including Sales, Marketing, Accounting, Operations, Logistics, and Inventory.
- Support sales activities by managing customer follow-ups, quotes, proposals, and documentation.
- Manage incoming website leads and assign them through the CRM.
- Monitor sales pipelines and ensure timely follow-up by the sales team.
- Maintain accurate customer information and perform data entry within HubSpot, Odoo, and other business systems.
- Create and update agreements, proposals, and templates using PandaDoc.
- Assist with CRM management, workflows, automations, and sales sequences.
- Use AI tools such as Claude, ChatGPT, and other platforms to improve productivity and streamline business processes.
- Identify opportunities to automate repetitive tasks and improve operational efficiency.
- Prepare reports, spreadsheets, and business documents as requested by the CEO.
- Handle confidential information with professionalism and discretion.
Qualifications
- 3+ years of experience supporting executives, business owners, or senior leadership.
- Experience in sales support, customer service, or
- business operations.

- Odoo ERP/CRM
- PandaDoc
- Microsoft Office 365
- Google Workspace
- Excel and Google Sheets
- AI tools (Claude, ChatGPT, Gemini, etc.)
