Roles will begin fully remote and transition to a hybrid schedule of three days per week in-office once the space is established. About the role:
Pacvue is seeking an experienced Office Manager to own the full operational and technical footprint of our fast-growing Mexico City location. This role is the operational backbone of the office — leading everything from facilities and IT coordination to employee experience programs and executive meeting logistics. The Office Manager operates with a high degree of independence, exercises sound judgment on day-to-day decisions, and is accountable for outcomes across the full site. Additionally, this role will take on broader administrative responsibilities that support the business at large.
Responsibilities:
Event & Meeting Management
- Lead end-to-end planning and execution of all office events and meetings, including customer and partner engagements, board meetings, and executive offsites — independently managing logistics, agendas, materials, and stakeholder coordination.
Office Operations
- Own the day-to-day operational health of the office — including employee access, seating, tech setup, supply ordering, and maintaining a well-organized work environment and kitchen.
- Anticipate operational needs proactively and resolve issues independently, escalating only when the situation exceeds site-level authority.
Employee Experience
- Design and curate in-office programming — including team gatherings, happy hours, and community or volunteering events — with ownership over planning, execution, and continuous improvement based on employee feedback.
Special Projects
- Lead cross-functional special projects from scoping through delivery — including company swag programs managed in partnership with Marketing — making independent judgment calls on priorities, trade-offs, timelines, costing, and fulfillment.
IT Coordination & On-Site Support
- Serve as the primary on-site owner of IT operations, managing the full hardware lifecycle including shipping, receiving, inventory tracking, and asset management for employee devices, monitors, peripherals, and accessories.
- Independently handle IT setup and installation tasks — including monitor configuration, shared-use device setup, and workstation peripherals — for new and existing employees.
- Own routine maintenance and proactive health checks for shared-use IT equipment such as conferencing systems and cabling, resolving issues within scope and escalating only when remote ITSD support is required.
- Act as the authoritative on-site liaison between the Mexico City office and the ITSD for all non-standard IT issues, including local network disruptions and facility-level connectivity concerns.
- Independently assess, triage, and resolve IT security and access-related incidents in accordance with company protocols; escalate only when issues exceed site-level resolution capacity.
- Proactively identify and communicate recurring or environmental IT issues — including ISP outages, physical security concerns, and hardware trends — to the ITSD to support remote troubleshooting and long-term resolution.
Skills & Qualifications:
- Proven expertise managing the full operational and technical footprint of a corporate office, including facilities, IT coordination, and employee experience programs.
- Demonstrated ability to lead complex special projects independently — with strong judgment on scope, budget, trade-offs, and delivery.
- Takes initiative and drives outcomes without waiting for direction; highly organized and customer-focused.
- Expert-level calendar management across international and US time zones; comfortable navigating complex executive schedules.
- Exercises sound, independent judgment and executes with precision.
- Deep familiarity with workplace technology systems and IT hardware lifecycle management; able to evaluate and implement new tools with minimal ramp-up. Our team uses Outlook, Zoom, and Slack.
- Strong project management and communication skills, with the ability to align stakeholders across functions.
