Schedule: Full-time, 6 days/week, 8 hours/day, set schedule within a 24/7/365 operation. Shifts may fall on nights, weekends, or holidays.
About the Role
We are a 24/7/365 international air ambulance company coordinating flights to transport critically ill and injured patients across borders. As a Flight Coordinator, you orchestrate every moving part of an international medical mission, from first call to completion. Lives depend on your accuracy, urgency, and follow-through.
We will train you. The strongest candidates come from disciplined, high-responsibility backgrounds outside aeromedical transport and bring the work ethic of seasoned professionals.
Key Responsibilities
· Coordinate and oversee all aspects of flight operations from initial request through mission completion.
· Respond IMMEDIATELY to all communications via email, telephone, and WhatsApp throughout your shift.
· Prepare accurate flight quotes and itineraries.
· Coordinate FBOs, fuel, ground ambulances, and crew hotels.
· Coordinate with customs and immigration authorities, including preparation of relevant documentation.
· Communicate at all times in a polite, attentive, empathetic, and effective manner.
Required Competencies and Mindset
· Languages: Advanced professional Spanish AND English at CEFR C1 or higher. Non-negotiable.
· Mindset: Punctuality, urgency, relentless follow-up, empathy, meticulous detail, and strong memory and retention. We do not repeat training.
· Operational: Rapid decision-making, high-pressure communication, multitasking across simultaneous missions, and strong geographical awareness.
· Technology: MS Office (Word, Excel, OneNote), Google Workspace (Gmail, Docs, Sheets, Drive), Google Search, Adobe PDF, DocuSign, and WhatsApp (high-volume chat groups).
· Personal: Mature, self-disciplined, responsible, professional in conduct and appearance, able to remain seated and engaged throughout the shift.
Background and Education
· Associate's degree or higher REQUIRED. Nursing or medical degree holders are strongly encouraged to apply.
· Minimum 3 years in a comparable high-responsibility field: high-stakes customer service, administrative documentation, dispatch, transportation logistics, or EMS.
Equipment (Provided by the Candidate)
We do NOT provide equipment. Your equipment is part of your readiness to do this job. There is no acceptable reason to be disconnected or unresponsive during your shift.
· Reliable desktop or laptop with a processor that handles many tabs and windows at once, plus storage for work documents.
· Reliable, high-speed home internet from a dependable provider.
· Reliable cellular phone able to manage a very large volume of WhatsApp chat groups and install new work software, with a mobile data plan that serves as backup when home internet is down.
