We are looking for a Corporate Events Producer | Event Operations & Partnerships to join our team and take an active role in the planning, coordination, and execution of our conferences.
About the Role
This is a hands-on, dynamic role combining event production, operations, supplier management, negotiation, logistics, and relationship management.
You will be involved throughout the entire event lifecycle — from researching venues and requesting quotes, to coordinating hotels, suppliers, purchases, payments, speakers, sponsors, and on-site logistics.
The ideal candidate is highly organized, proactive, commercially minded, and comfortable getting involved in the details. This is not a desk-only position: you will be directly involved in event setup, execution, and dismantling.
You will work closely with our Commercial, Editorial, and Operations teams to ensure every conference is delivered professionally, on time, and within budget.
Key ResponsibilitiesEvent Planning & Production
- Coordinate the planning and execution of corporate conferences, forums, and business events.
- Manage event timelines, logistics, materials, suppliers, and operational requirements.
- Coordinate event setup and dismantling, including on-site supervision.
- Ensure all event requirements are in place before and during the event.
- Coordinate with internal teams, suppliers, venues, speakers, sponsors, and other stakeholders.
- Identify potential operational issues and resolve them quickly and efficiently.
- Support on-site event operations and ensure the smooth execution of each event.
Hotels, Venues & Supplier Management
- Research and evaluate hotels, venues, suppliers, and service providers according to event requirements and budget.
- Request, compare, and negotiate quotes, prices, contracts, and commercial conditions.
- Coordinate hotel bookings and accommodation requirements for speakers, staff, and guests.
- Maintain strong relationships with hotels, venues, suppliers, and other service providers.
- Follow up on services, deliveries, deadlines, and supplier commitments.
- Coordinate and supervise suppliers during event days.
Purchasing, Payments & Budget Control
- Manage the purchasing of event supplies, materials, equipment, and operational needs.
- Request and compare multiple quotations to obtain the best commercial conditions.
- Coordinate supplier payment processes and follow up on pending invoices and documentation.
- Maintain accurate records of expenses, quotations, payments, and supplier information.
- Monitor event-related expenses and support budget control.
- Ensure purchases and payments are properly coordinated with the Finance and Administration teams.
Speakers & VIP Guests
- Research and support the identification and acquisition of high-level speakers.
- Coordinate speaker logistics, hotel accommodation, transportation, schedules, and event requirements.
- Maintain professional communication with speakers and VIP guests throughout the event cycle.
- Ensure speakers receive the information and support required before and during the event.
Sponsors, Partners & Commercial Support
- Serve as an operational point of contact for sponsors, partners, and commercial clients.
- Coordinate sponsor requirements, branding, materials, participation, and on-site presence.
- Follow up on agreed deliverables and ensure commitments are fulfilled.
- Work closely with the Commercial team to support client and sponsor requirements.
- Identify opportunities to strengthen relationships with venues, suppliers, sponsors, and strategic partners.
Internal Collaboration
- Work closely with Commercial, Editorial, Finance, and Operations teams.
- Support the Commercial team with event-related requirements, client requests, materials, and logistics.
- Coordinate information between internal teams and external suppliers.
- Contribute ideas to improve event execution, efficiency, and the attendee experience.
Requirements
- 3+ years of experience in corporate events, conferences, event production, hospitality, operations, account management, partnerships, or a related field.
- Experience coordinating suppliers, hotels, venues, purchases, quotations, and event logistics.
- Experience participating in event setup and dismantling.
- Proven ability to manage multiple suppliers and stakeholders simultaneously.
- Strong negotiation and communication skills.
- Experience managing quotations, purchasing processes, and supplier payments.
- Advanced English (C1/C2) – essential for communication with international speakers, clients, and partners.
- Professional proficiency in Spanish.
- Excellent organizational and project management skills.
- Strong attention to detail.
- Proactive and solution-oriented.
- Comfortable working under pressure and handling last-minute changes.
- Ability to work directly with senior executives, speakers, sponsors, and corporate clients.
- Availability to travel within Mexico when required.
- Availability to work during conferences, including occasional extended hours and weekends when necessary.
