Logistics Coordinator – International Ocean & Air Freight

Position Summary
World Deal Traders is seeking a detail-oriented Logistics Coordinator to manage international ocean and air freight shipments from booking through final documentation. This role requires strong follow-up, document accuracy, and daily coordination with sales, warehouse, purchasing, accounts, freight forwarders, and customers.
Key ResponsibilitiesOcean Freight
- Request and compare ocean freight quotes based on cost, transit time, routing, and customer needs.
- Book containers, confirm sailing schedules, cutoffs, empty pickup, loading dates, and documentation deadlines.
- Coordinate loading with the warehouse and sales team.
- Track container status, rollovers, delays, port issues, and routing changes.
- Review and approve draft Bill of Lading, telex release, original documents, and courier requirements.
Air Freight
- Request air freight quotes and confirm chargeable weight, airline, routing, transit time, and pickup schedule.
- Coordinate pickup with freight forwarder, warehouse, and sales team.
- Confirm labels, pallet details, consignee information, and required documents before cargo leaves the warehouse.
- Monitor air shipments closely and escalate any delay, document issue, or missed flight risk immediately.
Export Documentation
Prepare, review, and coordinate documents including:
- Commercial Invoice
- Packing List
- Bill of Lading / Air Waybill
- Certificate of Origin
- Health Certificate
- Certificate of Free Sale
- Fumigation Certificate, if requested
- Heat-Treated Wooden Pallet Certificate, if requested
- Telex Release / Original Documents, if requested
Internal Coordination
- Work with sales to confirm SLI, consignee details, shipping terms, and customer instructions.
- Work with warehouse to confirm cargo readiness, pallet count, weight, cube, labels, and loading schedule.
- Work with purchasing and accounts to confirm product status, freight invoices, and shipment holds.
- Keep shipment trackers, shared sheets, ERP/app records, and communication logs updated daily.
Required Skills
- Experience in international logistics, freight forwarding, ocean freight, air freight, or export coordination preferred.
- Strong knowledge of export documents and shipment procedures.
- Excellent attention to detail and follow-up skills.
- Ability to manage multiple shipments and deadlines.
- Comfortable using Google Sheets, Excel, email, ERP systems, and shipment trackers.
- Strong communication skills and ability to escalate problems early.
