We are a fast-growing podcast and media production company based in Houston, Texas. We work with founders, executives, and brands to produce high-quality podcast and media content that builds authority and expands their reach.
We’re looking for an Executive & Operations Assistant to support senior leadership across executive administration, finance, and day-to-day operations.
This role is best suited for someone who is highly organized, proactive, detail-oriented, and able to think independently. You should be comfortable taking ownership of tasks, identifying what needs to be done, and knowing when something needs to be escalated.
What You’ll Be Doing
- Managing calendars, scheduling, meetings, and follow-ups
- Supporting day-to-day executive and administrative needs
- Tracking expenses and maintaining accurate financial records
- Assisting with QuickBooks, invoices, reimbursements, and financial documentation
- Maintaining spreadsheets and internal documentation
- Tracking priorities, deadlines, and outstanding items
- Coordinating with team members and helping keep projects moving
- Identifying operational gaps and helping improve internal processes
- Supporting HR and people-related administrative tasks as needed
What We’re Looking For
- 3+ years of experience in executive assistance, administration, operations, or a similar role
- Strong bookkeeping or accounting experience, including the ability to understand and work comfortably with numbers
- Experience with QuickBooks or similar financial software
- Excellent organization, follow-through, and attention to detail
- Strong judgment and the ability to prioritize without constant direction
- Comfortable working independently in a fast-moving remote environment
- Strong written and verbal English
- Experience with EOS/Traction or similar operating systems is strongly preferred
Schedule Requirement
This role requires consistent availability during U.S. Central Time business hours, approximately 8/9 AM to 1/2 PM CST. Applicants must be comfortable working these hours consistently and should have experience working with U.S.-based teams or similar schedules.
