Virtual Assistant / Client Intake & Engagement Specialist
We are a growing US Florida bankruptcy law firm looking for a sharp, personable, and highly engaging bilingual Virtual Assistant who is fluent in both English and Spanish.
This is not a traditional receptionist position.
The person in this role will often be the first person a potential client speaks with when they contact our firm. Many of the people who call us are dealing with financial stress, lawsuits, foreclosure, wage garnishment, or overwhelming debt. We are looking for someone who can make people feel comfortable, listen carefully, ask the right questions, and reassure them that they contacted the right firm that can help them.
The ideal candidate genuinely enjoys talking to people and knows how to build trust quickly over the phone.
You should be warm, confident, engaging, and comfortable guiding conversations. Strong active-listening and sales skills are extremely important. You should be able to hear what someone is saying, understand the problem they are facing, respond naturally, and help move the conversation toward scheduling a consultation that they will attend or taking the appropriate next step to retain the firm and make a payment.
Responsibilities will include:
- Working on eastern standard time business hours, potentially 1-2 hours after 5pm
- Answering incoming calls from existing and potential clients in both English and Spanish
- Speaking with potential clients to understand why they are calling and what problems they are facing and using active listening to make them feel heard and understood
- Reassuring potential clients and helping them feel confident that they have come to the right place
- Scheduling consultations and appointments, with a focus on helping potential clients feel comfortable and committed to show up to the appointment, and/or motivated to take the next step and retain the firm
- Following up with scheduled potential clients to improve appointment attendance and reduce no-shows
- Following up with potential clients who completed a consultation but have not yet hired the firm, with the goal of helping qualified leads move forward and hire the firm
- Maintaining consistent and professional communication with clients and leads
- Updating client and lead information in our CRM
- Assisting with calendaring, administrative tasks, and general law firm support as needed
We are especially interested in someone who:
- Speaks and writes fluent English and Spanish
- Has excellent phone and communication skills
- Is warm, friendly, confident, and comfortable speaking with new people
- Has strong sales instincts and knows how to build rapport without sounding pushy
- Practices active listening and can respond thoughtfully during conversations
- Is persistent and comfortable following up with leads
- Is motivated and confident to help potential clients take the next step and hire the firm
- Is organized, reliable, and detail-oriented
- Is comfortable learning new technology and systems
- Wants to grow with a growing company
Must have a good computer with fast reliable internet, and power. Experience with sales, customer service, intake, legal work, bankruptcy, social media, CRM systems, or calendar management is a plus.
We are willing to train the right person.
