Customer Service Representative – Primary Care Clinic

Position Overview
We are seeking a friendly, organized, and patient-focused Customer Service Representative to join our growing primary care clinic team. This individual will serve as the first point of contact for patients, providing exceptional customer service while assisting with appointment scheduling, insurance verification, patient intake, and general inquiries.
The ideal candidate is professional, detail-oriented, comfortable handling a high volume of calls, and experienced in a healthcare environment.
Key Responsibilities
- Answer incoming patient calls in a courteous, professional, and empathetic manner.
- Schedule, reschedule, and confirm appointments with physicians and healthcare providers.
- Provide patients with accurate information regarding services, office policies, and appointment requirements.
- Collect and update patient demographics, medical history, and other intake information.
- Verify insurance eligibility, benefits, and coverage prior to appointments.
- Document patient interactions accurately within the electronic medical record (EMR) system.
- Assist patients with questions regarding referrals, authorizations, and appointment preparation.
- Follow up with patients regarding missing information, insurance issues, and appointment confirmations.
- Maintain strict confidentiality and compliance with HIPAA regulations.
- Coordinate with clinical and administrative staff to ensure smooth patient experiences.
- Handle patient concerns professionally and escalate issues when appropriate.
Qualifications
- Previous customer service experience required.
- Healthcare, medical office, primary care, or call center experience strongly preferred.
- Experience scheduling medical appointments and working with insurance plans.
- Familiarity with insurance verification processes and patient registration.
- Strong verbal and written communication skills in English.
- Excellent phone etiquette and active listening skills.
- Strong attention to detail and organizational abilities.
- Ability to multitask and manage a high volume of calls.
- Proficiency with EMR/EHR systems and Microsoft Office applications.
- Ability to work independently while maintaining accuracy and efficiency.
Preferred Qualifications
- Experience in a primary care, family medicine, internal medicine, or outpatient clinic setting.
- Knowledge of medical terminology.
- Experience with insurance portals and eligibility verification tools.
- Bilingual (English/Spanish) is a plus.
