About the Role
We are looking for a proactive, organized, and service-oriented Office Manager to join our team in Mexico City.
In this role, you will be responsible for ensuring the smooth and efficient operation of our Mexico office and employee apartments. You will work closely with local teams, suppliers, landlords, and global departments, playing a key role in creating a professional, comfortable, and well-organized working environment for our employees.

Key Responsibilities
- Manage the daily administrative operations of the Mexico office and employee apartments, including leasing, renewals, lease termination, property communication, repairs, maintenance, cleaning, and related matters.
- Coordinate office seating arrangements, employee onboarding administrative support, office supplies procurement and distribution, asset inventory, and basic office environment maintenance.
- Manage employee apartment move-in and move-out processes, including keys, access cards, cleaning services, resident feedback, and maintenance follow-up.
- Manage and coordinate local administrative suppliers, including existing supplier relationships, new supplier sourcing, quotation comparison, service coordination, execution follow-up, and daily service management.
- Prepare payment applications for office and apartment-related expenses, collect invoices and receipts, maintain expense records, and ensure proper document filing.
- Support employee engagement and welfare activities, including afternoon tea, holiday and festival activities, team events, and other administrative support for business teams.
- Collaborate closely with HQ Administration, Procurement, Finance, Legal, IT, and local business teams.
- Support the implementation and standardization of local administrative processes.
- Identify operational issues proactively and coordinate solutions in a timely and effective manner.
- Perform other administrative and operational tasks assigned by management.
What We're Looking For
- Bachelor's degree or above. Administration, Business Administration, or related fields are preferred.
- 2+ years of experience in office administration, office operations, property management, general logistics, or a related field.
- Experience managing office facilities, employee housing/apartments, administrative suppliers, or similar operations is highly valued.
- Familiarity with local office, property management, apartment, maintenance, cleaning, and administrative service providers in Mexico is a strong plus.
- Strong communication, coordination, negotiation, and vendor management skills.
- Excellent organization and attention to detail, with the ability to manage multiple priorities simultaneously.
- Strong follow-up and execution skills, with a proactive approach to problem-solving.
- Strong service mindset and ability to work effectively with employees at different levels.
- Proficiency in Microsoft Office, particularly Excel, for maintaining expense ledgers, supplier records, inventories, and administrative documentation.
- Fluent Spanish and good English communication skills are required. (min. 80% english level)
- Chinese language skills are a plus.
- Previous experience in a Chinese company, technology/internet company, or multinational organization is preferred.
