The Role
As the Executive Assistant to the CEO, you will be the ultimate right hand and strategic partner to the founder. This role goes far beyond traditional administrative tasks. Our client is seeking a highly organized, proactive, and commercially-minded individual who can seamlessly navigate between executive support, daily operations, and fundamental sales and marketing initiatives.

Key Responsibilities Sales & Marketing Growth Support
- Lead & Pipeline Coordination: Assist with basic CRM management, tracking inbound leads, and ensuring timely follow-ups for potential clients.
- Content & Campaign Assistance: Coordinate the distribution of marketing content, newsletter scheduling, and social media touchpoints (LinkedIn/Twitter) for the CEO’s personal brand and the company.
- Collateral & Pitch Deck Creation: Design and refine high-impact sales presentations, proposals, and marketing materials using modern design tools.
- Client Relationship Management: Act as a professional first point of contact for prospective clients, ensuring an exceptional onboarding and intake experience.
Executive Support & Alignment
- Calendar & Inbox Gatekeeping: Proactively manage the CEO’s schedule, filter emails, prioritize incoming requests, and ensure time is optimized for high-leverage activities.
- Accountability Partner: Keep the CEO and leadership team aligned on weekly priorities, upcoming deadlines, and critical action items.
- Meeting Mastery: Coordinate executive and client meetings, prepare agendas, take rigorous notes, and drive the execution of post-meeting action items.
Operations & Project Management
- Task Tracking: Organize and delegate cross-departmental tasks using ClickUp to ensure nothing falls through the cracks.
- Process Optimization: Identify operational bottlenecks, suggest improvements, and document standard operating procedures (SOPs) to help the company scale.
- Ad-Hoc Projects: Handle confidential business operations and occasional personal administrative tasks for the CEO with maximum discretion.
What You BringExperience
- 2+ years of experience supporting Founders, Executives, or leadership teams in a fast-paced environment (Startup or Agency experience is highly preferred).
- Proven track record of managing complex calendars and executing administrative workflows independently.
- Familiarity with the lifecycle of a B2B sales funnel or digital marketing basics.
Technical Skills & Knowledge
- Sales/Marketing Literacy: Basic understanding of lead nurturing, CRM management (HubSpot, Pipedrive, or similar), and professional communication for business development.
- Project Management Tools: Proficiency with ClickUp (or similar tools like Asana/Monday) for tracking projects.
- Design & Presentation Software: Hands-on experience with Canva and Gamma to build clean, modern, and visually appealing presentations and documents.
- Digital Ecosystem: Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and tech-savvy enough to learn new software rapidly.

Pay: $35,000.00 - $40,000.00 per month
