About the Company
Our client is a growing, clinician-led healthcare organization providing home- and community-based behavioral health services. The organization supports children and families through a multidisciplinary clinical team and uses a Salesforce-based practice management platform alongside clinical, HR/payroll, and productivity systems.
The Role
We are seeking a hands-on Operations & Technology Administrator who enjoys solving problems, improving systems, supporting staff, and helping operational processes run smoothly.
This is a generalist role combining Salesforce administration, technology support, staff training, reporting, and healthcare operations. In the near term, the position will also work directly with families to gather and maintain information needed for effective client scheduling.
Hands-on Salesforce administration experience is required. The successful candidate should understand how to configure and administer Salesforce—not simply use it as an end user.
Near-Term Focus — First 60–90 Days
- Contact families by phone, text, and email to capture and confirm client session availability in the practice management system.
- Review utilization reports and identify clients who are below authorized service hours.
- Communicate utilization information clearly and professionally to caregivers, including changes that may help improve service utilization.
- Follow up consistently with families who may be difficult to reach and maintain accurate documentation of each contact.
- Support the intake and scheduling function with data cleanup and validation during the completion of a platform migration.
Ongoing ResponsibilitiesSalesforce Administration
Administer the organization’s Salesforce-based practice management environment, including:
- Users, profiles, and permission sets
- Page layouts
- Objects and fields
- Validation rules
- Reports and dashboards
Platform Optimization
- Develop a strong understanding of the practice management platform and its capabilities.
- Identify opportunities to improve workflows and maximize existing platform functionality.
- Evaluate potential integrations.
- Manage support tickets and system change requests with platform vendors.
Staff Orientation & Technology Training
- Onboard new employees onto the organization’s practice management, clinical, HR/payroll, and productivity platforms.
- Conduct orientation and technology training sessions.
- Maintain clear, current step-by-step guides and standard operating procedures.
Tier 1 Technology Support
- Serve as the first point of contact for staff technology questions.
- Troubleshoot and resolve common issues.
- Escalate more complex technical problems when necessary.
Reporting & Analysis
- Pull and interpret reports related to scheduling, utilization, and staff availability.
- Identify trends and potential operational issues.
- Summarize findings for leadership in clear, practical language.
Operations Support
- Assist with intake, authorization tracking, and other operational responsibilities as needed.
- Adapt to changing priorities within a growing organization.
Required Qualifications
- Hands-on Salesforce administration experience, including configuration, users and permissions, objects and fields, reports, and dashboards.
- Fluent English and Spanish, written and spoken, with the ability to communicate professionally with families in both languages.
- Healthcare or behavioral health experience, preferably in a client- or patient-facing operations environment involving scheduling, intake, authorizations, or similar responsibilities.
- Working understanding of HIPAA.
- Operations experience and demonstrated ability to learn new processes independently.
- Strong analytical skills with the ability to work comfortably with spreadsheets and reports, interpret data, draw conclusions, and communicate findings clearly.
- Comfortable communicating by phone and following up consistently and professionally.
- Strong written communication and documentation skills.
- Availability during Pacific Time business hours.
Preferred Qualifications
- Salesforce Administrator certification.
- Experience in ABA, pediatric therapy, or a related behavioral health setting.
- Experience with a Salesforce-based practice management or EHR platform.
- Familiarity with clinical data collection, HR/payroll, or Google Workspace tools.
- Experience creating training materials or conducting employee onboarding and enablement sessions.
- Exposure to automation tools or AI-assisted workflows.
