About the Role
We are looking for an Operations Support Specialist to support internal operational workflows related to records processing, invoice handling, correspondence management, and coordination with external facilities. This role requires strong organizational skills, attention to detail, and the ability to manage multiple administrative processes in a fast-paced environment.
The ideal candidate is comfortable handling written communication, reviewing documentation, working through web portals, and supporting operational processes with accuracy and consistency.
Responsibilities
- Manage departmental correspondence and follow up on inquiries to support communication across teams.
- Coordinate with external facilities through email-based communication to confirm records are prepared correctly and resolve issues before collection.
- Review and process invoices related to records production and issue payments following internal procedures.
- Monitor external web portals to download, track, and deliver produced records.
- Serve subpoenas through external web portals while following established procedures and compliance guidelines.
- Handle incoming records, maintaining accurate intake, tracking, and processing workflows.
- Maintain knowledge of departmental procedures and contribute to team collaboration and training initiatives.
- Identify workflow improvement opportunities and contribute ideas for operational enhancements.
- Participate in quality, compliance, and metric audits related to departmental processes.
- Support continuous improvement initiatives focused on operational performance and workflow optimization.
- Collaborate with internal teams and support additional operational and administrative tasks as needed.
- Requirements
High school diploma or equivalent required.
- 1+ years of customer service or call center experience preferred.
- 1+ years of experience in a medical office or legal office environment preferred.
- Strong written and verbal communication skills in professional environments.
- Ability to manage multiple tasks, prioritize responsibilities, and remain organized in a fast-paced setting.
- Experience handling administrative workflows, documentation, and record tracking processes.
- Strong attention to detail and problem-solving skills.
- Ability to handle sensitive or escalated situations professionally.
- Comfortable collaborating with internal teams and external vendors.
Technology
- Experience using Google Workspace including Gmail, Docs, Sheets, and Calendar.
- Comfortable using office software, business phone systems, video conferencing tools, and web-based platforms.
Schedule
Full-time on-site position based in Monterrey, Mexico.

Pay: $20,000.00 - $24,000.00 per month
