Executive Assistant & Strategic Projects Manager to the CEO

Mission of the Role
The Executive Assistant serves as a trusted partner to the CEO of Christel House International by providing exceptional executive support, ensuring the CEO's time, priorities, and communications are managed strategically and efficiently. The role enables organizational effectiveness through proactive coordination, seamless execution of executive operations, and diligent follow-through on strategic initiatives, allowing the CEO to focus on advancing Christel House International's mission and organizational priorities.

Key Responsibilities
Executive Operations
- Strategically manage the CEO's calendar by prioritizing requests, balancing competing priorities, protecting focus time, and ensuring alignment with organizational objectives.
- Coordinate all travel arrangements for the CEO, including flights, accommodations, ground transportation, visas, travel memberships, detailed itineraries, and all supporting documentation.
- Prepare daily, weekly, and travel briefings to ensure the CEO is fully prepared for meetings, trips, and key engagements.
- Anticipate the CEO's operational needs by proactively identifying potential conflicts, risks, and opportunities, ensuring seamless day-to-day execution.
Executive Communications
- Manage the CEO's email by triaging messages, identifying priorities, drafting responses, and ensuring timely follow-up.
- Coordinate communication between the CEO and key internal and external stakeholders, ensuring timely responses, effective follow-up, and appropriate flow of information.
- Support the CEO's LinkedIn presence by coordinating, drafting, and publishing posts as appropriate.
- Prepare, edit, and proofread executive correspondence, presentations, and other communications on behalf of the CEO.
Strategic Project Management
- Track strategic initiatives and organizational priorities assigned by the CEO.
- Maintain and monitor the CEO's action list, ensuring priorities are tracked and completed in a timely manner.
- Monitor organizational commitments and proactively follow up with leaders to ensure deadlines, deliverables, and commitments are met.
- Escalate potential delays or risks to the CEO and recommend appropriate follow-up actions when necessary.
Executive Leadership Team Coordination
- Coordinate Executive Leadership Team meetings, including agenda preparation, meeting logistics, distribution of materials, documentation of action items, and follow-up.
- Ensure agendas, presentations, and supporting materials are prepared and distributed in advance of all key executive meetings.
- Ensure accountability by monitoring progress on Executive Leadership Team commitments and organizational priorities.
- Facilitate communication and coordination among Executive Leadership Team members, proactively connecting with key leaders when follow-up, decisions, or deliverables are pending.
- Oversee the timely preparation and coordination of Board materials and executive meeting documentation, working closely with the Executive Assistant responsible for Board administration to ensure all deliverables are completed accurately and on schedule.
Qualifications & Experience
Education
- Bachelor's degree in Business Administration, Communications, Project Management, or a related field.
Experience
- Minimum of 5 years supporting C-level executives, preferably in a fast-paced, international organization.
- Experience managing complex calendars, executive communications, travel, and cross-functional projects.
Knowledge, Skills & Competencies
- Exceptional organizational, planning, and project management skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills in English.
- High level of discretion, integrity, and sound judgment in handling confidential information.
- Proactive, resourceful, and solutions-oriented with strong problem-solving abilities.
- Excellent interpersonal skills with the ability to build trusted relationships across all organizational levels.

- Proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, and Word).
