Position Summary
We are seeking a highly organized, business-minded, and proactive Remote Office Manager to support the owner of a growing U.S.-based business brokerage. This is a high-impact role that combines executive support, business operations, financial organization, marketing coordination, and project management.
The ideal candidate is someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and can anticipate needs before being asked. You will be responsible for keeping the business organized, preparing professional materials for clients, assisting with financial document reviews, coordinating marketing efforts, and ensuring projects move forward efficiently.
This role requires someone who is detail-oriented, resourceful, and comfortable working independently while managing multiple priorities.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the owner's daily priorities, calendar, and task list.
- Organize meetings, follow-ups, and project timelines.
- Draft emails, business correspondence, and client communications.
- Coordinate with buyers, sellers, attorneys, accountants, and other stakeholders as needed.
- Maintain organized digital filing systems and business documentation.
Presentation & Marketing Materials
- Create professional PowerPoint presentations, pitch decks, and marketing packages.
- Prepare Confidential Information Memorandums (CIMs) and business summaries.
- Design visually appealing reports and client presentations.
- Update templates and ensure branding consistency across all materials.
- Assist with proposals and presentation materials for prospective clients.
Financial Document Review
- Review Profit & Loss statements, balance sheets, and financial reports for completeness and organization.
- Identify inconsistencies or missing information before documents are presented to clients.
- Organize financial information into easy-to-understand summaries.
- Work closely with the owner to prepare financial data for business valuations and buyer presentations.
- Maintain confidentiality when handling sensitive financial information.
Note: This role does not require preparing financial statements or performing accounting work, but candidates should be comfortable understanding business financial reports.
Office & Operations Management
- Keep projects organized and ensure deadlines are met.
- Track ongoing business listings and transaction milestones.
- Maintain CRM records and update client information.
- Develop and improve internal workflows and operating procedures.
- Coordinate with vendors and outside service providers when necessary.
Social Media & Marketing Support
- Schedule and publish social media content across multiple platforms.
- Assist in creating professional posts, graphics, and business updates.
- Coordinate newsletters and email marketing campaigns.
- Monitor website updates and marketing materials.
- Track engagement and assist with content planning.
Project Management
- Manage multiple projects simultaneously.
- Follow up on outstanding action items.
- Keep the owner informed of priorities and upcoming deadlines.
- Ensure tasks are completed efficiently and nothing falls through the cracks.
- Recommend improvements to systems and business processes.
Qualifications
- 3+ years of experience as an Executive Assistant, Office Manager, Operations Coordinator, Project Manager, or similar role.
- Exceptional organizational and time management skills.
- Strong business acumen and ability to understand financial information.
- Excellent written and verbal English communication skills.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and attention to detail.
- Comfortable managing confidential business information.
