We're looking for a Healthcare Coordinator to support care coordination operations for a fast-moving health tech company providing clinical intelligence services to employer health plans. You will handle appointment scheduling overflow, coordinate care across a large member base, manage follow-ups, and maintain accurate HIPAA-compliant documentation across all member interactions.
This is a high-volume, detail-driven role. You will be working alongside an AI voice agent that handles the majority of scheduling, stepping in to manually complete the 20 to 30 percent of requests the agent cannot process, and ensuring every member gets their appointment booked accurately and on time. Reliability, professionalism, and flawless English communication are non-negotiable. What You'll Work On
Appointment Scheduling and Care Coordination

Handle inbound appointment booking overflow from the AI voice agent, manually completing scheduling requests the agent cannot process

Coordinate care appointments across a large member base by contacting providers and confirming scheduling details on behalf of members

Manage appointment follow-ups and reminders to ensure members attend scheduled visits

Flag no-shows and cancellations promptly and coordinate rescheduling as needed
Member Communication

Communicate directly with members and providers via phone, text, and other designated channels

Maintain a professional, clear, and warm communication style in all member-facing interactions

Respond to scheduling inquiries and status updates accurately and on time
Documentation and Compliance

Maintain HIPAA-compliant documentation of all care coordination activities, member interactions, and appointment statuses within designated systems

Ensure all records are accurate, complete, and up to date at all times

Follow all data privacy and compliance protocols without exception
Care Workflow Support

Support multi-population care workflows including chronic condition management and preventative care engagement

Escalate complex or high-risk cases to clinical staff as needed

Contribute to a smooth, high-volume coordination operation across a member base of 80,000 or more employees
What You Bring

Experience in healthcare coordination, medical virtual assistance, patient scheduling, or a similar clinical support role

Fluent, clear, and professional spoken and written English, this is a hard requirement for a member-facing role

Familiarity with HIPAA compliance requirements and the ability to handle protected health information with full discretion

Strong organizational skills with the ability to manage high volumes of scheduling tasks simultaneously without errors
