A Nanny Match is a woman-owned boutique nanny and household staffing agency based in New York City. Since 2015, we have helped families find exceptional nannies, Newborn Care Specialists, and household professionals through a highly personalized, hands-on approach.We're a small, collaborative team looking for a smart, capable, highly organized Operations & Placement Coordinator to support multiple areas of our business.
This is an ideal role for someone who takes pride in their work, learns quickly, and takes initiative. We're looking for someone who communicates well, takes ownership of tasks from start to finish, and is seeking a long-term role - ideally for many years to come.
What You'll Do
Responsibilities will vary from day to day and may include:
- Coordinate candidate interviews, client calls, working trials, and other scheduling needs
- Communicate professionally with clients and candidates regarding scheduling and next steps
- Prepare polished candidate bios and profiles using established templates
- Help coordinate temporary and backup childcare placements
- Post open positions on our website and external job boards
- Prepare and send client agreements and other documents
- Follow up with prospective clients and candidates
- Maintain organized digital files, databases, spreadsheets, and internal records
- Assist with Mailchimp mass emails and other business communications
- Conduct online research and present findings clearly and efficiently
- Provide administrative and operational support across the business
- Assist company leadership with scheduling, appointments, reservations, and other administrative needs
- Research and coordinate domestic and international travel, including flights, hotels, transportation, and itineraries
- Help provide coverage when other team members are out of the office
- Assist with candidate interviews and professional reference calls as needed
- Assist with special projects and additional responsibilities as the role develops

- Be comfortable working in a small business where responsibilities sometimes overlap
Requirements:
Experience in operations, executive assistance, recruiting/staffing, client service, or administrative support is required.
A minimum of 3 years of Administrative support is required.
Nanny or household staffing experience is helpful but not required.
Technology: Experience with Google Workspace, Gmail, Google Calendar, DocuSign, Mailchimp, Canva, WordPress, and CRM or applicant tracking systems is helpful. You do not need to know every platform, but you should be comfortable learning new technology independently.
Schedule & Location: This is a fully remote, long-term position requiring approximately 25–40 hours per week. We are currently seeking candidates based in Mexico, Central America, or South America who have reliable availability during U.S. Eastern Time business hours. Occasional flexibility outside standard hours may be helpful for time-sensitive scheduling or placement needs.
Compensation
Starting at $10 USD/hour, with higher compensation based on experience and qualifications.
