About the Position:Authority Income Accelerator is seeking a highly organized, detail-oriented, and tech-savvy Operations Virtual Assistant to join our growing team and play a key role in delivering an exceptional client experience.You’ll play a key role within our Operations Team, supporting both internal workflows and client support tasks to ensure a high-quality experience. This role is ideal for someone who enjoys improving processes, managing systems, and taking ownership—not someone looking only for administrative tasks.
Key Responsibilities
- Utilize and become proficient in company systems and tools such as GoHighLevel, Airtable, Circle, Calendly, Zapier, Slack, and others.
- Collaborate closely with the Operations and Customer Success teams to ensure seamless daily workflows.
- Communicate with clients via email, SMS, Circle, and other communication channels, providing timely support and follow-up.
- Assist with client onboarding, platform access, and ensuring all onboarding steps are completed.
- Support clients throughout their program journey by answering questions and coordinating with the appropriate departments.
- Monitor and follow up on failed payments, subscription renewals, and outstanding account issues.
- Manage and update CRM records, customer success dashboards, payment statuses, and internal trackers.
- Schedule and coordinate coaching calls, meetings, and client events, including attendance tracking and reminders.
- Organize, upload, and maintain coaching call recordings and other program resources.
- Assist with mastermind logistics, client communications, and event preparation.
- Gather, organize, and maintain data from multiple platforms to ensure accurate reporting and documentation.
- Perform basic setup and maintenance of GoHighLevel sub-accounts and client access permissions.
- Create, document, and improve Standard Operating Procedures (SOPs) and operational processes.
- Follow up on client support requests to ensure timely resolution and an exceptional client experience.
- Attend team meetings, coaching calls, and training sessions while contributing to continuous operational improvements.
Qualifications & Skills
- 2+ years of experience as a Virtual Assistant, Operations Assistant, or similar role
- Experience using CRMs such as GoHighLevel, HubSpot Airtable, Workflows, Circle, Zapier, Calendly and other software and tools.(is a plus)
- Strong skills in Google Sheets, Airtable, or data tracking tools
- Familiarity with automation tools (Zapier, Make) and AI tools (Claude, ChatGPT, etc.)
- Excellent written English and communication skills (C1 and above)
- Highly organized, detail-oriented, and able to multitask
- Proactive and solutions-oriented
- Strong sense of ownership and accountability
- Comfortable working in a fast-paced, remote environment
- Tech-savvy and eager to improve systems
- Team player with strong communication skills
Compensation & Benefits:
- Schedule: Full-time position 9 AM- 6 PM EST.
- Compensation: $1,200–$1,400 USD/month
- Payment Method: Via Gusto.
- Payment Schedule: Biweekly (15th and 1st).
