A Cleaning and Restoration company, based in Connecticut, is seeking a highly organized and detail-oriented Administrative Coordinator to support their Mitigation and Repairs teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys providing excellent customer service, and can effectively manage multiple priorities while maintaining accuracy.
Key Responsibilities:
Mitigation Support
- Process and organize vendor invoices and supporting documentation.
- Rename, scan, and upload documents to the appropriate PSA job files.
- Organize and upload job photos within PSA by date and technician.
- Upload and link Matterport sketches to corresponding jobs.
- Maintain inventory lists and job documentation.
- Send authorization forms upon receipt of new loss notifications and follow up on incomplete DocuSign forms.
- Update PSA notes, job statuses, and important dates.
- Assist with closing completed and paid files.
- Participate in the on-call rotation as needed.
Repairs Support
- Enter production reports and job information into PSA.
- Maintain accurate job notes and timeline updates.
- Send vendor agreements and other DocuSign documents as needed.
- Conduct customer satisfaction survey calls following completed work.
Qualifications
- Bachelor's degree preferred.
- 1 - 2 years of experience in an administrative, office support, or customer service role.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage a high volume of work while maintaining accuracy.
- Comfortable working in a fast-paced, deadline-driven environment.
- Proficient in Microsoft Word, Excel, and other Microsoft Office applications.
- Willingness to learn industry-specific software, including PSA.
- Excellent verbal and written communication skills with a professional and courteous phone manner. (Advanced English level required)
- Ability to build and maintain positive working relationships with team members and vendors.
- Willingness to work seasonal overtime, including evenings and weekends, when business needs require.
- Availability to work 40 hours per week following U.S. Eastern time zone.
