About the role
We are seeking a highly organized, dependable, and patient-focused Bilingual Healthcare Virtual Assistant fluent in English and Spanish to support the administrative operations of an optometry practice.
This role focused on appointment scheduling, patient intake, insurance verification, follow-up communication, records coordination, and day-to-day practice support.
The ideal candidate is comfortable communicating with patients in both English and Spanish, has strong attention to detail, understands healthcare administrative workflows, and can handle confidential patient information responsibly. Experience with Eyefinity Encompass Practice Management (PM) or a similar optometry practice management system is highly valued.
Key Responsibilities
Patient Scheduling & Administrative Support
- Manage patient appointments, scheduling changes, cancellations, and appointment reminders.
- Coordinate patient intake and pre-visit administrative requirements.
- Support appointment recall and follow-up workflows.
- Conduct patient check-in and check-out communications by phone or other approved communication channels.
- Help maintain accurate patient demographic and administrative information.
- Assist with daily appointment coordination and patient-flow communication.
Insurance Verification & Billing Support
- Verify patient eligibility and benefits through vision and medical insurance portals.
- Review coverage information from plans such as VSP, EyeMed, Spectera, Medicare, and other commercial payers.
- Communicate applicable copays, deductibles, exam fees, and other patient financial responsibilities based on verified benefits and practice guidelines.
- Assist with pre-authorization and insurance-related administrative processes when required.
- Help organize billing documentation and information needed by the practice.
Patient Communication & Follow-Up
- Communicate professionally and compassionately with English- and Spanish-speaking patients.
- Conduct administrative pre-screening and collect/update patient information according to established practice procedures.
- Follow up with patients regarding appointments, administrative requirements, and care-related scheduling instructions provided by the clinical team.
- Help coordinate follow-up appointments for services such as dry eye care, glaucoma monitoring, diabetic eye examinations, and other optometric services.
- Escalate clinical questions or medical concerns to the appropriate clinical team rather than providing medical advice.
Records & Practice Management
- Maintain accurate electronic patient records and administrative databases.
- Assist with referral documentation, recall lists, intake forms, and other practice records.
- Track contact lens orders and related administrative information.
- Assist with contact lens and laboratory order status updates.
- Participate in daily team huddles and administrative meetings as needed.
- Coordinate with optometric technicians and other practice staff to support an efficient patient experience.
Required Qualifications
- Strong English and Spanish communication skills, both written and verbal.
- Previous experience in healthcare administration, medical reception, patient coordination, virtual assistance, or a related administrative role.
- Experience with patient scheduling, appointment management, or healthcare office administration.
- Strong attention to detail and ability to accurately handle confidential information.
- Understanding of patient privacy, HIPAA requirements, and secure handling of healthcare information.
- Comfortable communicating with patients about appointments, insurance benefits, administrative requirements, and practice procedures.
- Strong organizational and time-management skills.
- Ability to manage multiple administrative tasks while maintaining accuracy and professionalism.
- Reliable internet connection and a professional remote-work environment.
- Ability to work independently while communicating effectively with the practice team.
Preferred / Nice to Have
- Direct prior experience working in an Optometry or Ophthalmology practice environment.
- Exposure to CPT and ICD-10 coding for eye care (routine vision codes vs. medical eye pathology codes).
- Familiarity with ordering contact lenses and tracking lab job statuses through major suppliers (VSP Optics, ABB Optical, etc.).
- Experience assisting with prior authorizations for medical ophthalmic prescriptions and diagnostic testing.
- Background or certification as a Medical Assistant, Ophthalmic Assistant (COA), or Healthcare Administrator.
