Position Summary
The Maintenance Coordinator is responsible for managing the complete lifecycle of assigned maintenance requests from initial assignment through operational completion. This role serves as the primary point of contact for property owners, tenants, and Customer Success Managers regarding maintenance issues within their assigned portfolio. The Maintenance Coordinator is responsible for assessing maintenance requests, troubleshooting issues, obtaining necessary approvals, defining the scope of work, and ensuring each work order is fully prepared for execution. Once all required information and approvals have been obtained, the coordinator transfers the work order to the Technician Manager for scheduling and execution while maintaining ownership of the request through completion and ensuring a high level of customer service.
Maintenance Case Management
- Manage all maintenance requests assigned within the designated property portfolio.
- Serve as the primary point of contact for property owners, residents, and Customer Success Managers regarding maintenance requests.
- Review newly assigned maintenance requests and determine the appropriate course of action.
- Conduct a complete assessment of each maintenance request to identify the issue and determine the appropriate solution.
- Gather all necessary information, including photos, videos, documentation, and supporting details required to process the maintenance request.
- Request additional information or clarification from property owners, residents, Customer Success Managers, or vendors when necessary.
- Troubleshoot maintenance issues to accurately determine the scope of work.
Owner & Resident Communication
- Maintain ongoing communication with property owners, residents, and Customer Success Managers throughout the maintenance process.
- Provide timely updates regarding maintenance progress and work order status.
- Answer maintenance-related questions and address concerns from owners, residents, and Customer Success Managers.
- Communicate repair recommendations and available options to property owners.
- Ensure customer expectations are managed throughout the maintenance process.
Repair Planning & Approval
- Determine when repair estimates are required.
- Request vendor estimates through the Technician Manager.
- Review repair estimates received from vendors.
- Obtain owner approval for repairs requiring authorization.
- Define the final scope of work once approvals have been obtained.
- Ensure approved work orders contain all information required for execution.
- Transfer approved work orders to the Technician Manager for scheduling and execution.
Work Order Oversight
- Monitor the progress of assigned maintenance requests throughout the repair process.
- Review updates received from the Technician Manager regarding active work orders.
- Evaluate completed repairs to confirm the maintenance issue has been resolved.
- Determine whether additional work, follow-up visits, or owner decisions are required.
- Return work orders to the Technician Manager when additional field work is necessary.
- Prepare completed maintenance requests for final administrative review and closure.
Documentation & Property Meld Administration
- Maintain accurate documentation of all maintenance activities in Property Meld.
- Record communications, approvals, owner decisions, and case notes.
- Ensure maintenance records remain complete and up to date throughout the life cycle of the work order.
- Verify that all required documentation is complete before submitting work orders for final administrative review.
Problem Resolution & Escalation
- Identify maintenance issues requiring management involvement.
- Escalate complex repairs, high-cost projects, or owner concerns to the Maintenance Operations Manager.
- Collaborate with the Technician Manager to resolve operational challenges affecting assigned maintenance requests.
- Support the timely resolution of maintenance issues while maintaining company service standards.
