Responsibilities
- Provide day-to-day administrative and operational support to clients and internal team members.
- Manage calendars, appointments, meetings, scheduling requests, and follow-ups.
- Monitor tasks and deadlines and proactively follow up with the appropriate people to keep projects moving.
- Communicate professionally with clients, vendors, candidates, and other stakeholders through email, messaging platforms, and other business systems.
- Maintain and update spreadsheets, databases, CRM records, trackers, and internal systems.
- Create, update, and organize SOPs, internal documentation, templates, and training resources.
- Assist with client onboarding, employee onboarding, and other coordination activities as needed.
- Prepare presentations, documents, reports, and other internal or client-facing materials.
- Support leadership and clients with administrative requests and special projects.
- Coordinate information and deliverables across multiple people or departments.
- Identify inefficiencies or problems and proactively recommend solutions.
- Learn and confidently use the different software platforms required by each client.
- Maintain a high level of accuracy, professionalism, confidentiality, and follow-through.
- Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
Role Requirements
- 4+ years of virtual assistant, administrative, operations, executive support, or similar professional experience.
- 2+ years working with clients or companies from the United States, UK, Canada, or Australia.
- Must speak and write fluent English.
- Strong written and verbal communication skills.
- Experience managing calendars, scheduling, email communication, and follow-up.
- Experience working with spreadsheets, databases, CRMs, project management platforms, or similar business tools.
- Strong organizational skills and attention to detail.
- Ability to work independently and manage multiple priorities in a remote environment.
- Must be comfortable communicating directly with clients and internal team members.
- Must be tech-savvy and comfortable learning new tools and systems.
- Must have a reliable backup internet connection.
Nice to have:
- Experience creating or maintaining SOPs, training materials, or internal documentation.
- Experience with recruiting, interviewing, onboarding, or employee training.
- Experience providing administrative or executive support to company leadership.
- Experience with tools such as Slack, Monday.com, Loom, QuickBooks, or similar platforms.
