Role Purpose
Based in Querétaro, Mexico, the HR Specialist will support HR operations across the Americas region, while also serving as the dedicated HR point of contact for the local Mexico team. The role centralizes routine, repeatable HR administration, including payroll inputs, benefits administration, onboarding documentation and HR vendor management. Trilingual fluency (Spanish, English and Portuguese) is essential, as the position serves Spanish-speaking employees in some Latin America countries, English-speaking employees in the United States and Canada, and Portuguese-speaking employees in Brazil.
Your Responsibilities:
Payroll Administration
Assist with payroll inputs for LATAM countries including work hours/timesheet/absences.
Coordinate Mexico payroll inputs and funding payout with payroll provider.
Process Mexico’s Manual Payment Requests forms and sending Finance to obtain proof of payment.
Compensation and Benefits Administration
Assists in administering employee benefits for LATAM countries.
Assist in the preparation and submission of monthly life insurance files to the insurance brokers.
Process employee benefit-change requests across LATAM countries.
Recruitment and Onboarding
Prepare and issue offer letters and contracts for the United States and Canada, as well as Spanish-language employment contracts for Mexico.
Initiate related onboarding tasks in Workday to ensure employees are hired on time.
Collect new-hire documentation and benefit applications for all countries per local process, and support benefits enrollment across North America.
Initiate and manage drug and background check process for new hires in the US including communications and follow up with candidates.
Compliance, Reporting and General Support
Run U.S. I-9 audits and E-Verify maintenance activities.
Act as the first point of intake for HR tickets across all countries: triage cases, resolve routine items and route complex matters to the appropriate colleagues.
Support in the creation of purchase requisitions and purchase orders for HR vendors.
Manage and maintain the employee recognition program through external vendor for the US, Canada and Mexico.
Your background:
The ideal candidate is an HR professional with who can support core HR processes in a fast-paced environment while handling day-to-day operations efficiently and contributing to ongoing improvements with the following qualifications:
Minimum Associate's degree (Bachelor's degree preferred) in Human Resources, Business Administration or a related field.
3+ years of experience in HR operations, payroll administration or shared services, ideally in a multi-country environment.
Trilingual: full professional fluency in Spanish, English and Portuguese (written and spoken).
Hands-on experience with HRIS and payroll systems (Workday preferred), and proficiency in MS Office applications.
Excellent written and verbal communication skills, with the ability to clearly support employees, managers and regional stakeholders.
Detail-oriented and analytical, with a strong track record of accuracy with payroll and benefits data and the ability to meet strict deadlines.
Familiarity with AI tools (such as MS Copilot) and experience optimizing internal HR processes is a plus.
Knowledge of LATAM and/or Mexico labor, payroll and benefits practices is preferred.
Fast learner and strong team player, with the ability to quickly adapt to new systems, processes and business changes.

Work Environment and Support
Office-based role in Querétaro, Mexico.
Standard schedule: Monday to Friday, daytime business hours, on-site in Querétaro.
Occasional schedule flexibility may be required around payroll cut-offs and month-end close.
The HR Specialist will work independently while reporting to and receiving remote support from the Americas Regional HR Lead in the US.
The role will also collaborate with HR team members in Brazil, the US and our global headquarters in Baden, Switzerland.
Regular use of computer and office equipment.
Occasional travel may be required to support regional HR activities.
