Part-Time Real Estate Transaction Coordinator – U.S. Real Estate
We are looking for a detail-oriented and proactive Part-Time Real Estate Transaction Coordinator to support our U.S. real estate brokerage team. This role is ideal for someone with prior experience in the U.S. real estate market who is comfortable handling transaction paperwork, listings, CRM updates, and property searches.
The position will initially focus on administrative and transaction coordination responsibilities, with training provided on our specific processes. Over time, the right person will also assist with identifying properties that match our buyers' acquisition criteria.
Key Responsibilities
- Organize and maintain real estate transaction documents, disclosures, and related paperwork.
- Maintain organized transaction files in Dropbox, Google Drive, or similar platforms.
- Assist with preparing and uploading property listings to platforms such as CoStar, LoopNet, MLS, and other listing websites.
- Assist with preparing property flyers and other basic marketing materials.
- Keep the brokerage CRM updated with buyer requirements, property criteria, transaction information, and follow-up items.
- Review new property listings and proactively identify opportunities that may match buyer requirements, including location, property type, purchase price/budget, and other acquisition criteria.
- Monitor listing platforms regularly and notify the team when potentially relevant properties come to market.
- Assist with residential transaction paperwork and disclosures when residential opportunities arise.
- Provide general administrative and transaction support to the brokerage team as needed.
This is not a financial underwriting position. You will not be expected to build detailed financial models or perform complex property analysis. The focus is on organization, transaction coordination, and developing enough familiarity with our buyers' criteria to identify potentially relevant opportunities.
Qualifications
- At least 1–2 years of experience in the U.S. real estate industry preferred.
- Previous experience supporting a U.S. real estate broker, brokerage, transaction coordinator, or real estate team strongly preferred.
- Familiarity with U.S. real estate transactions and transaction documentation.
- Commercial real estate experience is a strong advantage; residential transaction experience is also valuable.
- Familiarity with CoStar, LoopNet, MLS, or similar real estate listing platforms preferred.
- Experience working with a CRM and maintaining organized transaction records.
- Strong attention to detail and ability to manage paperwork accurately.
- Highly organized and comfortable managing multiple files, listings, buyers, and transactions.
- Proactive and comfortable identifying new listings and opportunities without waiting for a specific research assignment.
- Able to learn buyer preferences and develop good judgment regarding whether a property may be a potential fit.
- Strong written and verbal English communication skills.
- Reliable and able to work independently after training.

Schedule & Availability
- Candidates must be consistently available and actively working during the full 1:00 PM–5:00 PM PST schedule.
- Having another part-time job is acceptable; however, the other job must NOT overlap with the 1:00 PM–5:00 PM PST working schedule. Candidates should not have another employment commitment, recurring meeting schedule, or other work responsibility that conflicts with these hours.
Compensation - $700 USD per month
Growth Opportunity
This is intended to be an ongoing position rather than a temporary assignment. As our brokerage business and transaction volume grow, there may be an opportunity for the role to transition into a full-time position.
